Reunions
Occasionally, SWIL will decide to have a reunion, usually after some
suitable number of years of SWIL existence have occurred (such as 13).
In this case, somebody will need to run it. You may be lucky enough,
as we were, to convince an alumnus to do it, but just in case, here are
Jim Moskowitz's suggestions for running a reunion.
- The Alumni Office is eager to help with finding current
addresses, and will even cover the cost of sending out a mailing.
They'll help with lots of logistical details if you let them.
- Reserve space way in advance. This is especially true for Ashton
and Cratsley (the guest houses. They'll let us use them for free,
which is an enormous donation considering they're usually $50 per
room). They tend to book up six months in advance.
- Set up an emailing list for people to plan activities and
logistics (see Section 4.6 about getting this hosted on swil.org).
- Security may not always get notified to unlock the spaces you've
requested, so triple check that it's on their To Do list: well in advance,
the day before, and an hour before you expect to have access.
- Have nametags and a sign-in sheet at the entrance.
- Bring single-use cameras and leave them lying around, so everybody in
attendance can help document the reunion.
- Schedule only one ``Event'' at any one time, but always have
games tables and comfortable places to socialize as an option for those
who don't want to do that event.
- Buy lots of food/drinks/cups and leave them all lying on a table,
along with a tin for people to contribute money. You may not get back
everything you spent, but it'll be close. Also, bring along menus for
local restaurants that deliver.
- Delegate, and check up on delegatees.
